If you have watched the StrapiConf 2023 Keynote or already upgraded to Strapi v4.11, you might already be familiar with the first iteration of the Strapi Review Workflows and Bulk Publish features. Strapi v4.12 takes both features to the next level in addition to many other enhancement and bug fixes.
With the release of v4.11 in June, users gained the ability to select and manage multiple entries simultaneously with a single action instead of one-by-one content publishing! However, the first iteration of this feature came with a notable shortcoming which prevented content managers from quickly finding the entries that didn't meet publishing requirements. This resulted in users having to meticulously go through all their entries to identify the one that blocked the publishing process.
To mitigate this inefficiency, we developed a new version of Bulk Publish that clearly flags those entries not ready for publishing. You can now conveniently update them prior to initiating the publishing attempt. This game-changing enhancement boosts productivity, reduces the risk of errors, and simplifies your content release process. Whether you have a blog with numerous posts or an e-commerce site with a vast product catalog, Bulk Publish will undoubtedly be a favorite time-saver for content managers, offering a more user-friendly and efficient experience.
As part of Strapi 4.11, Review workflows, available in self-hosted Strapi Enterprise and Strapi Cloud Team and Custom plans, supported only one workflow (with custom stages) per project.
The big improvement in Strapi v4.12. is that users can now design and manage multiple content approval processes tailored to their specific needs with Multiple workflows. Whether you require a multi-stage review process or different workflows for different content types, we've got you covered! The new review workflows enable you to maintain strict control over content publication, ensuring only approved content reaches your audiences with the highest quality and compliance requirements.
With Strapi 4.12, we have also integrated the Review Workflow feature with the CRUD (Create, Read, Update, Delete) permissions of Strapi’s Role Based Access Control (RBAC) system. This means that you can easily tailor permissions to the specific roles of your team members, giving them precisely the level of access they require at every stage of the workflow.
For the next iterations, we also plan to introduce user assignment and permissions at the stage levels to enable admin users to decide who should be able move content to the next stage in a workflow.
Combine this custom roles management with the new support for webhooks, and you can now automate various actions triggered by stage changes, such as updating external systems or notifying stakeholders. It also means you can easily control what gets published or not by defining action based on publishing status or triggering an action after an interval of time has passed.
